Seat lock: only owners can sign in

Not verified live: this guide has not been followed end to end against the live provider.

The seat lock is the state in which only your organisation’s owners can sign in to Yedran. It matters because everyone else is turned away at the login page until the lock lifts.

How it works

Yedran locks a self-serve organisation in one of two cases. The lock is computed from your numbers on every request, so nothing is stored and nothing is deleted.

  • The trial or subscription ended unpaid. After an unpaid trial, or a subscription that ends, the organisation is locked.
  • More people than seats. The active owners, admins and members outnumber the seats you bought. This happens, for example, when a seat decrease arrives from the payment provider’s portal.

While the organisation is locked, every person who is not an owner is refused at sign-in and on every request. Viewers are refused too, even though they do not take a seat.

Yedran never deactivates or suspends anyone because of unpaid seats. People keep their accounts, their roles and their conversation history. The lock lifts the moment the numbers fit.

An organisation on a contract is never locked.

What the lock does to Lucía

When the lock comes from an unpaid plan, Lucía hands conversations over and customers get an acknowledgement that a person is coming; the details are in The 30-day trial and what happens when it ends. When the lock comes only from having more people than seats, the lock does not switch Lucía off by itself.

Who decides what

  • Owners keep access. Owners see a red banner that gives the number of active people and seats and links to Billing and Members.
  • Admins, members and viewers are signed out and cannot sign in until an owner lifts the lock.
  • Only an owner can lift the lock. An owner does it in one of two ways: subscribe or add seats under the account menu > Organisation > Billing, or deactivate people under Organisation > Members until the seats cover everyone left. Only owners hold the permission to buy or change seats.
  • The Billing tab says what applies. For an unpaid plan, it states that only owners can sign in and that conversations are handed over to your team. For too many people, it states how many people are active and how many seats are paid for.

If you see …

A person who is not an owner sees one message on the login page, and is sent there when a request is refused while signed in:

Your organisation’s plan does not cover you right now. Ask the owner to subscribe or add seats.

If a team member reports this message, the organisation is locked. Ask an owner to open the Billing tab and follow the owner steps under Who decides what.
