Buy seats and conversation packs
Not verified live: this guide has not been followed end to end against the live provider.
You buy seats and extra conversations from the Billing tab, and you follow what you used on the Usage tab and what you paid on the Invoices tab. Payment runs through Polar, Yedran’s payment provider.
Who: an owner. Permission: billing.manage. Owners buy; admins can read the tabs but cannot buy.
Before you start
- Sign in as an owner. An admin sees the tabs and the numbers, plus a message that only the organisation owner can buy or change seats and conversations.
- Check that your organisation is self-serve. An organisation billed by contract sees a message that seats and conversations are not bought here.
- Have a payment method ready for the provider’s checkout page.
- Know how many people work in the organisation. Seats cannot be fewer than the people in your organisation.
Steps
- To open billing, open the account menu, select Organisation, then select the Billing tab. You see Seats, Contract and, once online payments are set up, Subscription. If you don’t see Organisation or Billing, your role has no billing access; ask an owner. If a message says online payments are not set up, you cannot buy here; the message gives an email address to contact.
- To buy seats for the first time, find Change seats. Enter a number in Number of seats, or select the Fewer seats and More seats buttons. You see the monthly price for that number of seats, and a note with the largest number you can buy online.
- Select Subscribe. You go to the provider’s checkout page. Pay there.
- When payment succeeds, you return to Billing. You see a thank-you message. Seats and conversations can take a moment to appear. If you cancel on the checkout page, you return to Billing with a message that nothing was charged.
- To change the number of seats later, set a different Number of seats and select Update seats. You see Seats updated. The button is unavailable until the number differs from your current seats.
- To buy extra conversations, find Extra conversations. Each pack card shows its size and price. Select Buy on the pack you want. You go to the provider’s checkout page, and the conversations are added after the payment is confirmed.
- To update your card, find Payment method and select Manage payment method. You go to the provider’s page. If nothing has been bought yet, you see a message that there is no payment method to manage.
- To see how the conversations are used, select the Usage tab. You see AI conversations this month with the number used, the extra conversations left, the date the monthly allowance starts again and a chart of Conversations per day. If you don’t see Usage, your role has no billing access.
- To get an invoice, select the Invoices tab. You see your payments with date, description, amount, status and invoice number. Select Download on a row. If the list is long, select Load more.
Result
Your purchase worked when the Billing tab shows the subscription status and the seats bought. After a seat purchase, the Seats area shows the seats bought and the people in use, and the Subscription area shows its status and when it renews or ends.
After a pack purchase, the Usage tab shows the extra conversations left, and its chart shows Extra conversations as the funding source once they are used. A payment appears on the Invoices tab.
Limits
- Seat count. You cannot set fewer seats than the people in use. If you try, you see a message to deactivate people first.
- Which people use a seat. Owners, admins and members each use a seat. Viewers are free.
- Monthly conversations. Each paid seat includes 200 conversations a month.
- Packs. Packs never expire. Yedran uses them after the monthly conversations. A pack is a one-time purchase.
- Upper limit. Self-serve sells seats up to a maximum shown on the page. For more, contact Yedran for a contract.
- Trial. A trial subscribes through the same Subscribe button. See The 30-day trial and what happens when it ends.
- Not enough seats. If more people are active than seats are paid, only owners can sign in. See Seat lock: only owners can sign in.
